EMAIL DATA EXTRACTOR BY MAILNIQ
Privacy Policy
Effective date: 19 August 2026
Mailniq provides Email Data Extractor (the “Add-on”). This policy explains how the Add-on processes information.
What the Add-on processes
After you authorise the Add-on, it reads Gmail messages returned by the Gmail search query you choose. Depending on the fields you select, it may process message headers, sender and recipient information, date, subject, snippet, plain-text or HTML message content, URLs, attachment metadata, and detected business details. It writes only the selected fields to the Google Sheet tab you choose.
Data Protection and Security
Email Data Extractor uses technical and organizational safeguards designed to protect Google user data against unauthorized access, disclosure, alteration, or destruction.
Google OAuth and Least-Privilege Access
Access to Google services is authorized through Google OAuth. Email Data Extractor does not collect or store users' Google Account passwords. The application requests only the Google permissions necessary to provide its functionality. Gmail access is read-only, and Email Data Extractor does not use Gmail access to send, modify, move, or delete users' email messages.
Data Processing Within Google's Environment
The current version of Email Data Extractor processes Gmail data within the user's Google environment using Google Apps Script and Google APIs. The application does not require a MailNiq-operated external server or database to process or store the contents of users' Gmail messages.
When a user initiates an extraction, the application reads Gmail messages matching the user's selected criteria and writes the selected extracted information into the Google Sheet selected by the user.
Data Transmission Protection
Connections to Google services are handled through Google APIs and authorization infrastructure. Where data is transmitted over network connections, HTTPS/TLS is used to protect data in transit.
Limited Operational Storage
Email Data Extractor may store limited operational information within Google Apps Script services, including user preferences, selected destination sheet information, scan status and checkpoints, deduplication identifiers, cancellation state, and usage counters.
This operational information is used only to provide application functionality such as resumable scans, duplicate prevention, user preferences, and usage controls.
Extracted Data and User Control
Extracted Gmail information is written to the Google Sheet selected by the user. Users retain control of this data and may edit or delete extracted information directly in Google Sheets.
Export files requested by users are generated from spreadsheet data and are not automatically stored on a MailNiq-operated server.
Data Minimization and Use Restrictions
Email Data Extractor processes Google user data only as necessary to perform functionality requested by the user. Google user data is not sold, used for advertising, or used to build advertising profiles.
How we use and share data
We use Gmail message data solely to provide the Gmail-to-Sheets extraction feature you choose. It is processed within your Google account and written to your selected Google Sheet; Email Data Extractor does not transmit Gmail message data to Mailniq or external servers. We do not sell Gmail data, use it for advertising, or transfer it to third parties.
Email Data Extractor’s use of information received from Google APIs will adhere to the Google API Services User Data Policy, including the Limited Use requirements.
Revoking Access
Users may revoke Email Data Extractor's access to their Google Account at any time through their Google Account security and third-party access settings. Users may also uninstall the add-on at any time. You control the rows imported into your Google Sheet and can delete them at any time.
The Add-on stores operational preferences, scan checkpoints, deduplication identifiers, licence status, and usage counters in Google Apps Script properties associated with your user account or spreadsheet. Uninstall the Add-on to stop access. For questions about operational data or privacy, email support@mailniq.com.
